WordPress Settings Guide: Team Roles & User Management

WordPress Users & Team Management Guide

Learn how to add team accounts, manage security roles, and collaborate safely.

Because Website Buildy does not place any restrictions on your Users menu, you have total freedom to scale your operations. You can invite business partners, hire content writers, or onboard virtual assistants to help manage your online store without ever sharing your master account password.

🛠️ The Pre-Registered “Website Buildy” Account

When you view your user directory, you will notice a pre-registered Administrator account named Website Buildy. This is our secure backend administrative portal. Please leave this account exactly as it is. Keeping this profile active allows our support team to instantly enter your site for system updates, security maintenance, and fast hands-on help whenever you open a support ticket.

👤 1. How to Invite or Add a New User Account

To grant a team member access to your dashboard, follow these procedural steps:

  1. Navigate to Users → Add New User on your sidebar menu.
  2. Fill out the mandatory Username and Email fields (your team member will receive their confirmation link here).
  3. Choose an appropriate role from the Role dropdown selection menu.
  4. Click the blue Add New User button at the bottom of the page.

🔑 2. Understanding User Roles & Security Profiles

To maintain an ironclad security standard, never give out more access privileges than necessary. Here is how the standard WordPress hierarchy works:

Role Type System Capabilities Best Used For
Administrator Full structural access. Can add/delete tools, alter code, and wipe files. Only yourself or highly trusted business partners.
Editor Can publish, modify, or delete any Pages, Posts, or Media files. Content managers or store managers.
Author / Contributor Can write and manage their own individual blog posts only. Freelance copywriters or content creators.
Customer / Subscriber Basic profile login. No access to the backend dashboard. Your online store buyers and retail clients.

⚠️ SECURITY RISK ALERT: Assigning the Administrator role to external parties or casual assistants carries a severe security risk. A third-party Administrator has the mechanical capability to change your email logs, lock you out of your own website, or delete entire customer directories. Always use the Editor or Author role for standard workforce tasks to keep your system assets safe.
